We invite plant growers, crafters, food vendors, and non-profit or informational organizations to join us at the Waldo Plant Festival. This community-centered event brings together plant, craft, and food lovers from across the area for a day of connection, discovery, and local support. If you share a passion for plants and small business, we’d love to have you be part of the festival.

Standard 12×12 booth space. Perfect for food, crafts, and merchandise. Includes space for tables or other displays, but no access to power.

Booth space with electric access. Ideal for vendors needing power for lights, appliances, or equipment. Limited spots available.

Vendor Approval Process

Preview the process for becoming a vendor for the Waldo Plant Festival.

1. Submit Vendor Application

To apply as a vendor, you must complete and submit the official Vendor Application with all fields filled out accurately and completely. Applications that are missing information or contain errors may delay approval or be denied, as complete details are required for proper review, communication, and vendor placement.

*Please Note: We will be limiting food trucks to one vendor per food type. i.e., we would only be able to accept one BBQ vendor, one snow-cone vendor, etc.

2. Review & Sign Vendor Contract

Once your vendor application is submitted, WAHS staff will email you the Vendor Contract, which will be sent by Square Up. All approved vendors are required to review and agree to the contract prior to the event. Failure to sign the contract, agree to its terms, or comply with contract conditions may result in termination of the vendor’s spot and removal of access to the event. No refunds are available for any vendors under any circumstances.

3. Pay Vendor Fees

Vendor fees must be paid in full by the deadline listed on the invoice included in the vendor contract in order to reserve and hold your vendor space. Vendor spaces are not secured until payment is received. If additional time is needed, vendors must contact WAHS prior to the deadline; extensions may be granted on a case-by-case basis. Failure to submit payment by the invoice deadline may result in loss of your vendor spot. All vendor fees are non-refundable under any circumstances.

4. Submit Relevant Information

Vendors must provide any relevant information needed for event planning and compliance—including disability accommodation needs, food truck or trailer dimensions, generator use, and any other details that may impact space assignment, safety, accessibility, or event operations. This information must be submitted prior to the event with ample time for coordination. Vendors should contact WAHS by email at events@waldohistoricalsociety.org to submit or update this information. Failure to provide accurate or timely details may affect vendor placement or participation.
